How do I plan a conference?

Planning a conference starts with your goals, budgets, audience, venue and then cascades even further. You can categorise conference planning into back end work (who are your stakeholders, what are your budgets, how are you sourcing venues), and customer facing (decorations, speakers, content, transport etc.).

What types of conferences are there?

Conferences come in all shapes and sizes. Some examples include:

  • Sales Conferences: You can host a small sales conference for your top performers, to go through awards and plans for the next quarter.
  • Medical Conferences: Many medical professionals have a requirement for lifelong learning. Advances in technology and research means new ways of working and often industries like doctors, optometrics, physiotherapist and more have the opportunity to attend mutliple events a year, both domestic and international.
  • Church Conference: Often large churches may hire out a space for a larger conference, to increase awareness and activity with their followers.
  • Youth Conference: Throughout the year there are some government led conferences that aim at increasing their understanding of, and engagement with, todays youths.
  • Leadership Conference: This would be where business leaders, whether internal to a single company or multiple companies, come together to brainstorm and strategise ways to impact business, community, government or the environment. Often these are powerful individuals at large businesses with the ability to enact change.

Where should I host my conference?

We are often asked where to host a conference, and the answer isn't so simple. To understand and narrow down your choices you really need to understand first the goal of the conference. Is it to reward the top sales people in the organisation or is it to have all staff from all locations meet in one area for workshops?

Knowing your goal will inform whether you have a local venue, interstate venue or international venue, and then lets you narrow down to the type of venue. Do you want to host at a conference centre where attendees come for a period of time and then leave? Or would you rather host at a luxury hotel with a few conference room facilities?
